Outreach and Intake Specialist

We work in Boston and Lowell, Massachusetts, and Manchester, New Hampshire.

IINE is the oldest and second largest resettlement agency in the region and has the largest Central American family reunification program in Greater Boston. More than 500 refugees and immigrants enroll in our education programs annually, and each year we connect hundreds of new Americans to jobs in New England companies.

Reports to: Career Service Manager

Status: Non-Exempt, Full Time

Overview

The Outreach and Intake Specialist supports the Programs team in employment programing by enrolling clients, performing critical data entry and record keeping, supporting with workforce development programming and client outreach. The position will be responsible for weekly outreach and orientation sessions, data entry, data tracking, and file up-keeping. The objective of this role is to enroll clients in IINE Employment Services and ensure that high quality services are provided.

Responsibilities

  • Assist with data entry and integration within employment database systems.
  • Conduct employment intakes with clients and make referrals to appropriate programs
  • Schedule meetings with clients and prioritize tasks according to necessity
  • Assist with outreach to employers and community partners
  • Ensure data is accurate, completing regular data entry quality assurance.
  • Assist with virtual and in-person client orientations, workshops, classes, and clinics as needed
  • Support record keeping and organization of paper files
  • Upload and support SharePoint record keeping and organization of electronic files.
  • Attend regularly scheduled meetings and periodic training sessions.
  • Perform all other duties assigned by supervisor

Required Skills/Abilities

  • Strong Microsoft Office Suite skills required, Asana experience a plus
  • Excellent organizational, verbal, written, and interpersonal skills.
  • Self-motivated and effective communicator.
  • Ability to prioritize duties in a fast-paced environment.
  • Proficiency in additional languages strongly preferred, particularly Haitian Creole or Spanish.

Education & Experience

  • Bachelor’s or Associates Degree in Human Services or related field preferred.
  • Minimum of 1 year of related experience in data entry and administration.
  • Experience working with immigrant populations preferred.
  • Candidate must have dedication to the human rights of refugees, immigrants, and asylees.

Work Environment Conditions

  • Frequent interruptions from employees and clients.
  • Required office work including exposure to bright, office lighting.

Physical Demands

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds on occasion.
  • Occasional bending, reaching overhead, and reaching at or below shoulder level required.
