The mission of the International Institute of New England (IINE) is to create opportunities for refugees and immigrants to succeed through resettlement, education, career advancement and pathways to citizenship. One of the oldest and largest human services organizations for New Americans in the region, IINE serves more than 9,000 people each year in Boston and Lowell, Massachusetts, and Manchester, New Hampshire. Our programs include case management, youth and family services, English for Speakers of Other Languages (ESOL), employment and skills training, and immigration legal services.

Overview

IINE Language Services provides essential language resources to the International Institute of New England, nonprofits, schools, hospitals, other community partners, and commercial clients. Our services include on-site interpretation, on-demand over the phone and video remote interpretation as well as document translation services in over 300 languages. Our revenues are reinvested in IINE’s programs and services for immigrants and refugees.

This role supports the financial and administrative aspects of the Language Services program, while also assisting in the coordination of interpretation and translation services. The Bookkeeper & Language Services Coordinator ensures the smooth operation of financial record-keeping, invoicing, interpreter scheduling, and translation project management.

Position: Bookkeeper & Language Services Coordinator

  • Position Format: Hybrid
  • Pay: $25/hour

Responsibilities

Bookkeeping

  • Maintain accurate records of all financial transactions and prepare regular financial reports to ensure transparency and compliance.
  • Generate and issue invoices for interpretation and translation services
  • Create and manage links for electronic payments for services rendered.
  • Oversee accounts payable and accounts receivable, ensuring timely payments and tracking outstanding invoices.
  • Maintain and monitor financial records for accuracy, including reconciling discrepancies.
  • Support in researching and addressing any reconciliation discrepancies that may arise for IINE Language Services-related payments

Interpretation Services

  • Assist with interpreter scheduling and overall interpreter coordination, ensuring that all requests are fulfilled efficiently.
  • Capture and enter all interpreter timesheet data accurately to facilitate bi-weekly payroll processing and monthly customer billing.
  • Review and vet mileage submission forms for accuracy.
  • Maintain a detailed interpreter tracking spreadsheet to monitor assignments and hours worked within IINE
  • Provide backup coverage for the Pinpoint Manager during meetings, vacations, and personal time, and support extended day coverage as needed.

Translation Services

  • Translation Request Coordination: Respond promptly to all incoming translation requests from clients, both business and individual, to facilitate the translation process.
  • Document Management: Receive and organize incoming client documents, gather quotes and turnaround times from translation providers.
  • Translation Pipeline Management: Maintain an organized translation record document, ensuring smooth processing and timely delivery of translation projects.
  • File Management: Maintain a working knowledge of various file-sharing and document formatting methods to ensure that translation materials are received, processed, and delivered correctly.

Required Skills/Abilities

  • Strong proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook).
  • Knowledge of interpretation and translation services is a plus.
  • Excellent organizational skills with a high level of attention to detail.
  • Strong communication and interpersonal skills, with the ability to interact professionally with clients, staff, and external vendors.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Knowledge / familiarity with accounting software Intacct strongly preferred but not required
  • Ability to work both independently and as part of a team.
  • Experience in scheduling and managing services is a plus.
  • Must be able to maintain confidentiality and handle sensitive financial and personal information.

Education & Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Accounting, Linguistics, or a related field preferred.
  • Previous experience in bookkeeping, accounts payable/receivable, or office administration, preferably in a language services or non-profit environment.

Work Environment Conditions

  • Occasional travel to IINE’s offices or for all staff events.
  • Exposure to bright, overhead office lighting, use of office technology such as laptops, printers, mail machines, and other in-office equipment

Physical Demands

  • Ability to sit at a desk for extended periods and use a computer and telephone.
  • Occasional light lifting and handling of documents or office supplies.
  • Occasional driving to and from IINE offices as needed.

Covid-19 Policy

IINE does not require applicants for most positions to show proof of Covid-19. Some federal contracts, however, require IINE staff to show proof of Covid-19 vaccination, and some immigration status adjustments, such as a Green Card, require proof of Covid-19 vaccination as well. Consequently, for some positions, IINE staff may be required to show proof of vaccination, and in others, IINE staff will be supporting clients who are required by law to have proof of vaccination in order to adjust their status in the United States.
